Job Description

JOB OVERVIEW

We are currently seeking an Executive Assistant to support the Chief Information Officer (CIO) of Equinox at our corporate headquarters in NYC.

RESPONSIBILITIES
  • Responsibilities include but are not limited to the following:
  • Manage calendars and schedule appointments
  • Perform complex and confidential assistant functions including developing and typing written correspondence; preparing PowerPoint presentations, responding to routine external communication
  • Supervise office Administrative Assistant/Receptionist; coordinate and facilitate reception coverage for the Park Avenue office mezzanine floor
  • Arrange complex and detailed travel plans
  • Prepare expense reports when necessary
  • Compose and prepare confidential correspondence, reports and other complex documents
  • Update and maintain seating/organization charts for the Technology department
  • Organize all team meetings, Town Halls and off-site Team Building events
  • Send out department communications as needed or requested
  • Work closely with other Executive Assistants to ensure all executive needs are met
  • Maintain confidentiality of all corporate, employees and research matters
  • Perform other ad hoc duties as assigned

Qualifications

The successful candidate must have the following experience, skills, and education:
  • Candidates must have a minimum of 4 years of experience as an Executive Assistant supporting high level executives
  • Microsoft Office skills including, Word, Excel, PowerPoint, Outlook
  • Knowledge of Concur expense reporting system or familiarity with similar expense management systems
  • Problem solving - the ability to identify and resolve problems in a timely manner, gathering and analyzing information skillfully while maintaining confidentiality
  • Interpersonal skills - maintaining confidentiality, remaining open to others' ideas and exhibiting willingness to try new things
  • Oral communication - ability to speak clearly and persuasively and demonstrate group presentation skills
  • Written communication - edit work for spelling and grammar, presenting numerical data effectively and able to read and interpret written information
  • Planning/organizing - the ability to prioritize and plan work activities, using time efficiently
  • Quality control - accurate and thorough, monitoring own work to ensure quality
  • Adaptability - the ability to adapt to changes in the work environment, manage competing demands and able to deal with frequent change, delays or unexpected events
  • Dependability - consistently at work and on time, following instructions, responding to management direction and soliciting feedback to improve performance
  • Enthusiastic, energetic, personable and friendly as well as passionate, intelligent and knowledgeable regarding the fitness/hospitality industry
